Scope and our role

This Privacy Policy applies to the OneSpotOps mobile app, website, and related services. OneSpotOps is a workforce operations service used by participating organizations to coordinate workplace activity.

Organizations provision and manage user accounts. A customer organization may control workplace data, determine who can access it, and configure access based on roles, permissions, and assigned locations.

Information collected

Depending on the features enabled by an organization and how a user uses the service, OneSpotOps may process:

• Name, email address, phone number, and user or account identifiers
• Authentication and session information
• Profile photo
• Role, position, employment status, hire date, and assigned work locations
• Tasks, descriptions, comments, status changes, and attachments
• Schedules and shift information
• Availability and time-off information, including optional reasons
• Workplace logs, comments, acknowledgements, and attachments
• Alerts and notification information
• Timekeeping entries and user-provided notes when enabled
• Device push-notification tokens and notification preferences when push notifications are enabled
• Technical information reasonably needed for security, reliability, and troubleshooting

How information is used

OneSpotOps uses information to provide app functionality, authenticate users, support workforce operations, deliver customer support, protect security and reliability, comply with legal obligations, and send service communications.

OneSpotOps does not sell personal information. OneSpotOps does not use personal information for third-party targeted advertising. OneSpotOps does not use advertising tracking.

How information is shared

Customer organizations and authorized users

Workplace data may be available to the user’s organization and authorized coworkers according to the organization’s roles, permissions, responsibilities, and location access.

Service providers

Vendors may process data on our behalf for hosting, storage, email, notifications, security, and support, subject to appropriate agreements and only as needed to provide those services.

Legal requirements and protection of rights

Information may be disclosed when reasonably necessary to comply with law or legal process, protect users or others, investigate misuse, enforce agreements, or protect the rights, security, and integrity of OneSpotOps and its services.

Data retention

Data is retained while needed to provide the service, as directed by customer organizations, and as required for legitimate operational, security, contractual, or legal purposes. Retention can vary by record type, customer configuration, and applicable obligations.

Security

OneSpotOps uses administrative, technical, and organizational safeguards intended to protect information. No system can guarantee absolute security, and users should protect their credentials and promptly report suspected unauthorized access.

User choices and privacy requests

Users may contact their organization administrator or [email protected] with access, correction, deletion, or other privacy requests. Some workplace records may be controlled or legally retained by the user’s employer or organization, so OneSpotOps may need to coordinate a request with that organization.

Camera, photo, and notification permissions

Camera and photo-library access are optional and requested only when a user chooses to take or upload a photo. Users can change these permissions in iOS Settings, though disabling them prevents the related photo feature.

Push notifications are optional. When enabled, OneSpotOps processes a device push-notification token and notification preferences to deliver operational alerts and service communications. Notification permission can be changed in iOS Settings.

Children’s privacy

OneSpotOps is a workforce service and is not directed to children. Organizations are responsible for provisioning accounts only for authorized workforce users.

International processing

If users or customer organizations access OneSpotOps from outside the country where our service providers operate, information may be processed in other countries. Where applicable, appropriate safeguards are used for such processing.

Policy updates

This policy may be updated as the service, practices, or legal requirements change. The effective date above will be revised when an updated policy is published.
